The Intern will support the daily administrative and operational activities of the office, contributing to an efficient and organized work environment. This role will provide assistance with office coordination, events logistics, vendor management, and administrative tasks while gaining exposure to the operations of a fast-paced multinational organization. The position offers an excellent opportunity to develop organizational, communication, and project coordination skills.
Work Model:
Flex: This role will typically require onsite work 2-3 days each week, or more depending on business needs. In many locations, the business will set certain days each week that Flex employees are required to be onsite.
Responsibilities:
- Assist in maintaining office organization, supplies inventory, and common areas.
- Assist with onboarding logistics for new employees, including workspace preparation, welcome materials, and coordination with HR and IT.
- Support the coordination of office services and vendors such as catering, cleaning, facilities, and courier services.
- Help maintain office records, documents, and administrative files.
- Support the planning and execution of internal meetings, team events, and office activities.
- Assist with meeting logistics, including room reservations, catering arrangements, and attendee communications.
- Help coordinate travel arrangements, hotel bookings, and event materials for internal meetings and external events when required.
- Assist in collecting and organizing meeting presentations and documentation
- Provide general administrative support to the Office Administrator and other business leaders as needed.
- Assist with calendar management, meeting scheduling, and coordination of conference calls.
- Support the processing and tracking of invoices, purchase orders, and expense documentation.
- Prepare reports, presentations, and spreadsheets as required.
- Participate in special projects and other administrative activities assigned by the Office Administrator.
Requirements:
- Currently pursuing or recently completed a Bachelor's degree in Business Administration, Management, Human Resources, Communications, or a related field.
- Ability to manage multiple tasks and prioritize effectively.
- Strong interpersonal and communication skills.
- Basic to intermediate knowledge of Microsoft Office applications (Outlook, Excel, Word, PowerPoint).
- Positive attitude, willingness to learn, and proactive approach to problem-solving.
- Ability to work independently as well as collaboratively within a team environment.
- Strong customer service mindset and professional attitude.
- English proficiency (written and verbal).
