Position Summary:
The Office Administrator will be responsible to oversee office procedures and manage administration duties and office procedures, in addition to creating and maintaining a first-class work environment, ensuring high levels of organizational effectiveness, communication and safety.

Work Model:
Flex: This role will typically require onsite work 2-3 days each week, or more depending on business needs. In many locations, the business will set certain days each week that Flex employees are required to be onsite.
Responsibilities:
Office Management
- Maintain office efficiency by planning and implementing systems, layouts, and equipment procurement.
- Design and implement office policies by establishing standards and procedures, measuring results, and adjusting as necessary.
- Greet and provide general support to visitors in a professional manner.
- Assist HR and IT in the new hire onboarding process including but not limited to new hire training and new employee administrative onboarding setup.
- Work with Corporate Communications to draft, edit, and/or send internal company wide or targeted (e.g. field or home office only) communications.
- Liaise with property management and facility vendors, including cleaning service, pest control and plant services, security procedures, etc. and manage contract and price negotiations.
Administrative & Project Support
- Prepare agendas, collect and compile slides, prepare meeting recaps, disseminate and follow up on action items, as appropriate.
- Complete expense reports (Concur) to ensure prompt monthly payment.
- Support direct report and directors with ad hoc projects.
- Plan off-site internal and external meetings (congresses and events) to include catering, hotel rooms/confirmations, agenda and slide management.
- Schedule meetings and maintain calendars. Proactively resolve conflicts as needed or based on preferences.
Requirements:
- Possess 5+ years of pharmaceutical experience, general knowledge, and appreciation of the overall function of a pharma company.
- Ability to perform in high pressure, fast-paced environment and comfortable when there may be multiple and shifting priorities.
- Strong organizational and planning skills in a fast-paced environment.
- Results-oriented with demonstrated sense of urgency.
- Project management experience with attention to detail.
- Able to flex communication style to effectively communicate with multiple levels of individuals within and across the organization as well as with individuals external to the Company.
- Demonstrates team leader and player qualities, prepared to solve problems efficiently and effectively.
- Highly motivated troubleshooter who can balance multiple projects with minimum supervision.
- Excellent written and verbal communication skills.
- BA/BS degree in business, education, or related field or High school diploma with equivalent years of work experience
- Proficiency in English and keep good command in Spanish.
