“Administrative Alchemist” / “Office Oracle”Role: Assist leadership in preparation of federal and state grants; Manage and assist with HR tasks; Work with bookkeeper and leadership to ensure grant compliance; Occasional event planning and organizing travel logistics; Prepare shipping documents and document processes; Develop document templates as part of quality management system; Participate in quality improvement of the sales pipeline; Send invoices and track status; Organize scheduling for external meetings, using automation software; Collect product images and media suitable for social media; Periodically update website content, including web store and social media; Perform local errands; Occasional furniture assembly.Desired experience: Bachelor’s Degree or similar work experiences; Ability to stay organized in a quickly changing environment; Attention to detail; Strong time management skills; Excellent verbal and written communication skills; Previous experience working in an office environment on a multidisciplinary team; Willing to work with a bunch of engineers/scientists/nerds; Experience working with productivity software and management tools (Office, QuickBooks, Monday.com, Hubspot) and graphic design tools (Photoshop, InDesign, Gimp); Exposure to quality management systems or ISO manufacturing environments; Previous experience in federal funding grant application processes desired, but not required; Ability to work safely with tools commonly found in a maker-space.Hours: Benefits eligible position (~32 hours per week). Flexible schedule, total weekly hours negotiable.Location: White River Junction, Vermont.Interested?
