Chief of Staff

MileIQ

MileIQ

People & HR, Operations
San Francisco, CA, USA
Posted on Apr 15, 2025

Location: San Francisco, Hybrid (1–2 days/week in office)

Type: Full-time

MileIQ helps people track and report their mileage automatically — no pens, no spreadsheets, no wasted time. Our product is simple and smart, and so is the way we run the company.

We’re hiring a Chief of Staff to work closely with our CEO, executive team, and board to help MileIQ operate at its best. Our CEO is our former CTO, so someone who’s technically fluent and comfortable navigating product and engineering conversations in a SaaS environment will thrive in this role.

This is a high-trust, high-impact role designed for someone who loves to bring structure to ambiguity, connect dots across teams, and quietly move the needle in big ways.

What You’ll Do (and What It Takes)

1. Own and Drive Cross-Functional Projects

You’ll lead big initiatives that touch multiple teams — things like QBR/MBR planning, goal alignment, internal processes, or ops improvements. From defining the problem to tracking outcomes, you’ll be responsible for getting things over the finish line.

You need to be:

- A natural organizer with a bias toward action

- Comfortable working across Product, Engineering, and Ops

- Someone who sees a vague problem and says, “I’ve got this”

2. Use Data to Drive Better Decisions

You’ll help us clean up and clarify our data so teams can actually use it, whether that’s in dashboards, planning docs, or weekly syncs. You’ll make the numbers trustworthy and the insights obvious.

You need to be:

- Confident wrangling messy data and finding the signal

- Comfortable working with spreadsheets, dashboards, and metrics

- Able to translate complexity into plain English

3. Bring Order to the Way We Work

You’ll help set the company’s internal rhythm: planning cadences, meeting structures, comms habits, and documentation. You’ll help us make fewer decisions in chaos, and more in context.

You need to be:

- A systems thinker who can spot what’s working and what’s noise

- Excited to design simple, repeatable ways for teams to work better

- Meticulous with details and allergic to dropped balls

4. Communicate Clearly at Every Level

You’ll work with execs to prep meetings, write updates, and run internal rituals. You’ll make sure the right people know the right things at the right time, without overwhelming anyone.

You need to be:

- An excellent communicator who writes clearly and thinks structurally

- Comfortable speaking up in exec conversations or guiding a meeting

- Someone who can say more with fewer words

5. Support Board and Leadership-Level Work

You’ll prep investor updates, board decks, and strategic docs, and help the leadership team stay focused on what matters most. You’ll be a trusted partner on high-stakes work.

You need to be:

- Discreet, reliable, and trusted at the highest level

- Organized under pressure and able to anticipate needs

- Experienced working with execs and/or investors

Bonus Points If You…

- Use AI tools or automation to save time or improve workflows (Notion AI, ChatGPT, Zapier, etc.)

- Have experience in fast-growing startups or product-led environments

- Are energized by ambiguity and love making things feel simple

Why This Role

MileIQ is profitable, product-focused, and scaling with intention. This role gives you visibility, variety, and ownership, without requiring you to be the loudest voice in the room. If you want to help shape how a company runs (and make it run better), this is a rare opportunity to do exactly that.

This role is hybrid in San Francisco — we’re in-office 1–2 days per week.

Full-time, with benefits, and a genuinely kind team.
