Join Helix’s Legal team as the operational backbone behind everything we do. This role is built for someone who thinks like a chief of staff — someone who sees the full picture of how a legal team runs, spots the gaps before anyone else does, and moves quickly to close them. You won’t wait to be told what needs building; you’ll already be working on a solution.
As our Legal Operations Manager, you will own the systems, processes, and infrastructure that allow our team to focus on high-value legal and compliance work. From managing contract workflows and legal technology platforms to triaging incoming legal requests and driving process improvement initiatives, you’ll be the connective tissue between the Legal team and the rest of the business. You’ll work cross-functionally in a hybrid remote environment, partnering directly with legal, finance, procurement, and business leaders to keep legal operations running smoothly and at pace with Helix’s growth.

Legal Operations & Processes
  • Serve as the central intake point for all legal team requests, managing triage, prioritization, and routing across the team
  • Build, maintain, and continuously improve legal workflows, standard operating procedures, playbooks, and templates
  • Administer and optimize legal technology platforms (e.g. SpotDraft, ticketing and project management platforms such as Linear and Streamline.ai), leveraging AI tools such as Claude Code and Github, and lead evaluation and onboarding of new tools as the team’s needs evolve
  • Track and report on legal team metrics (e.g. request volume, turnaround times, and key milestones), giving leadership visibility into team throughput and operational health
  • Lead or support cross-functional process improvement initiatives where the legal team is a key stakeholder
  • Partner with legal team members to proactively identify operational gaps and build solutions before they become recurring problems, define and provision workflows to address those gaps, and monitor the execution of those workflows
Contract & Vendor Management
  • Coordinate cross-functional review of routine vendor agreements (SaaS, professional services, product purchases, and NDAs), ensuring the right stakeholders are engaged and that reviews stay organized and on schedule
  • Apply Helix’s contracting playbooks to review contracts and escalate non-standard or elevated-risk provisions to attorneys with sufficient context to enable attorney decision-making
  • Manage contract renewals, amendments, and modifications in coordination with business owners and legal counsel
  • Maintain contract records and pipeline reporting in SpotDraft, ensuring visibility into contract status, key terms, and upcoming renewals
Corporate & Docketing Support
  • Coordinate outside counsel engagement across legal matters, including tracking legal spend, and maintaining current matter status
  • Support IP portfolio management, including docketing patent and trademark matters, coordinating with outside IP counsel, and helping track enforcement activities and key deadlines
  • Handle special assignments, research queries, ad hoc cross-functional coordination, and periodic corporate housekeeping such as registrations and license filings as directed by the legal team
About you:
  • 3-5 years of experience as a paralegal, in a legal operations role, or in a similar function within an in-house legal department or law firm
  • Strong project management instincts; you track moving pieces, own timelines, follow through without needing to be prompted
  • Demonstrated experience building or improving legal processes, workflows, or systems, and a genuine enthusiasm for making things run better
  • Familiarity with commercial contract terms (SaaS, vendor, and services agreements) and comfort applying contracting playbooks, with the judgment to know when to escalate to an attorney
  • Highly organized with the ability to manage a high volume of concurrent matters and shifting priorities without dropping the ball
  • Clear, proactive communicator who keeps stakeholders informed and knows when to escalate vs. run with something independently
  • Detail-oriented with high standards for the quality and accuracy of your work
  • Comfortable working in a hybrid remote environment and navigating ambiguity in a fast-moving startup
Pluses:
  • Prior in-house experience at a high-growth startup, digital health, or life sciences company
  • Hands-on experience with legal technology platforms, particularly SpotDraft or similar CLM tools, and project management or ticketing systems (e.g., Jira, Asana, Linear)
  • Familiarity with IP docketing or outside counsel management
  • Comfort leveraging AI tools to improve efficiency and strengthen work product
  • Experience wearing multiple hats and moving fluidly between strategic initiatives and operational day-to-day tasks

Expected Pay For This Role:
There are 3 distinct parts to your Helix offer: 1) Base Salary 2) Annual Bonus 3) Equity
  • Expected Helix Discretionary Annual Bonus: 15% of your annual salary

What To Expect During Your First 90 days:
  • 30 Day:
    • Familiarity with policies, SOPs, and playbooks applicable to contracting, procurement, and compliance program.
    • Completed training and familiarity with legal team’s core tools, platforms, and playbooks.
    • Application of one or more playbook with attorney supervision and feedback.
  • 60 Day:
    • Move from a user of legal team tools and platforms to an administrator role, and expert in defining and monitoring how workflows are operationalized and risks are assessed.
    • One or more collaborative projects underway with legal team members, with requirements gathered and workflows outlined.
  • 90 Day: Become go-to individual for triaging legal team requests, and ensuring the team operates smoothly and efficiently.

Compensation

The base pay range for this role is $108,000 – $148,000 per year.
