  What’s special about this role:
  The Facilities Coordinator ensures the safe, secure, and efficient operation of Helix buildings, equipment, and infrastructure. This role oversees preventive maintenance programs for building systems, coordinates vendor services, and implements safety and security protocols to minimize risk and downtime. By proactively monitoring facilities and resolving issues before they affect operations, the Facilities Coordinator maintains high service levels for Helix employees. Reporting to Laboratory Management, the role manages work orders and documentation, supports regulatory compliance, and drives continuous improvement and cost-effective operations. By upholding high standards in facility management, the Facilities Coordinator directly enables Helix’s operational excellence, innovation, and team productivity.
   Responsibilities: 
  - Serves as the primary point of contact for facilities operational planning and execution across all of Helix’s site(s).
- Perform ongoing preventive maintenance and repair work on the facility's systems to avoid downtime.
- Identifies and coordinates repairs, service, and maintenance tasks with vendors by providing clear requirements and expectations. Implements processes to measure quality of work performed.
- Systematically document all existing run books and operational procedures, transforming them into formal Standard Operating Procedures (SOPs) for consistent and reliable execution.
- Monitors ticketing systems to ensure swift issue resolution and minimize disruptions. Prioritize issues based on business impact and establish a system of continuous improvement by learning from retrospective reviews of common ticket requests.
- Conducts periodic walkthroughs with stakeholders to gather information and feedback.
- Oversee and ensure the proper functioning of office and laboratory HVAC systems, including airflow and air conditioning. This involves regular inspections and proactive maintenance, making necessary adjustments to precisely control temperature levels, and ensuring the prompt resolution of any system issues.
- Maintain cleanliness in all areas (floors, windows, gowning areas, shipping and receiving areas, server room area), and oversee porter services.
- Support waste management activities and compliance.
- Provide support to laboratory staff, including assisting with equipment relocation, installation, and troubleshooting.
- Collaborate directly with the Quality Department to ensure strict adherence to all laboratory regulatory body obligations. This partnership includes active participation in routine inspections and consistent involvement in quality management meetings.
- Supervises outdoor maintenance activities, including area security, lightning, signage, pest control, landscaping, parking space management) to ensure a safe, clean, and welcoming environment.
- Ensure compliance with all safety procedures, and pertaining regulation requirements (SOC-2, CAL/OSHA, CERS, etc.) by participating with cross-functional teams. Comply with local ordinances and codes related to facility operations.
- Apply safety protocols (e.g., lockout/tagout), follow OSHA and fire/life safety requirements, and support laboratory-specific safety procedures; identify and mitigate hazards during inspections and maintenance activities.
- Develop and manage department budgets and ensure cost-effective use of resources while maintaining high standards of maintenance and functionality.
 Qualifications: 
  - Associate's Degree in a relevant technical field or Business Administration.
- Technical certificates in trades such as HVAC, electrical, or plumbing are a significant advantage, as they clearly demonstrate relevant knowledge and expertise.
- Hazardous Waste Training.
- Excellent organizational skills, and the capability to work independently and make sound decisions.
- Strong planning and delegation skills, particularly in working with vendors.
- Strong project and time management to balance day-to-day operations with longer-term projects.
- Strong communication and managerial decision-making skills, especially regarding funding utilization, and ensuring all interactions are clear and timely.
- Strong accountability skills, with demonstrated ability in managerial decision-making. Ensures responsible utilization of funds, adherence to deadlines, and compliance with organizational policies and procedures.
- Reliability, consistently showing up when needed. Demonstrates commitment to team and organizational goals, ensures availability during critical times, and maintains dependability in fulfilling responsibilities and supporting colleagues.
 Physical and Mental Requirements: 
  - On-site role with flexibility for early/late hours or occasional weekends as needed; ability to participate in an on-call rotation and respond to urgent situations; ability to travel occasionally to address site issues at other Helix locations.
- Frequently walk the facility to conduct inspections; stand, bend, kneel, and climb stairs/ladders; lift, carry, push, and pull equipment and materials up to 50 pounds; use hand and power tools; work in mechanical rooms, rooftops, and laboratory spaces with varying temperatures, noise levels, and occasional exposure to cleaning materials; wear required PPE.
- Adequate near and far vision to read gauges, labels, plans, and digital interfaces; ability to distinguish indicator lights/colors; sufficient hearing to detect alarms and equipment sounds.

  Expected Pay For This Role:
   There are 3 distinct parts to your Helix offer: 1) Base Salary 2) Annual Bonus 3) Equity  
  Expected Helix Base: $60,000 - $84,000
  Expected Helix Discretionary Annual Bonus: 5% of your annual salary
  Equity: We offer generous equity at Helix. If you receive a Helix offer your recruiter will book dedicated time with you to educate you on our equity model.
 The salary range above is our reasonable estimate of the base compensation for this role across US locations. Actual starting pay will be based on non-discriminatory job-related factors, including exact work location, experience, relevant training and education, and skill level. What To Expect During Your Onboarding Week:
 We want to make sure your first week is spent learning the foundations. You will be invited to live orientation sessions and spend time with your hiring manager developing your individual roadmap to success. This experience will include sessions that cover your benefits, security & privacy training, an introduction to the OKR framework used at Helix and our communication tools and norms. 
  What To Expect During Your First 90 days:
  30 Day - 
 - Complete all onboarding and departmental training.
- Develop a preliminary strategic roadmap and begin to lay the groundwork for complete process ownership.
- Identify and prioritize the top three immediate pain points or risks that require attention.
- Host initial walkthroughs with the team to brainstorm and identify priorities.
- Show progress on documenting ground work.
60 Day - 
 - Formalize process ownership (Vendor management, and Ticketing system)
- Establish initial performance baselines to prepare for future optimization initiatives.
- Continue monthly walkthroughs with the team to show progress and brainstorm and identify additional opportunities.
- Establish contact with all critical vendors.
- More establish documentation (Confluence, MediaLab, Jira) and demonstrate progress on documenting process run-books.
90 Day - 
 - Achieve complete process ownership and begin to lay the groundwork for process improvements and cost optimization.
- Finalize documentation for all core facilities processes, and critical vendor management.
- Implement a standardized performance tracking dashboard for key metrics.
- Present a preliminary 6-month facilities strategy to senior management.
