Decoding the Role

As an Executive Assistant, you will be a critical partner to the entire Executive Leadership Team. You will ensure seamless operations, anticipate needs, manage complex schedules, coordinate board‑related activities, and support leadership in executing company priorities. This role is ideal for someone who thrives in a fast-paced biotech environment and who brings exceptional judgment, organization, discretion, and communication skills.

Characterizing Your Impact

  • Manage complex, dynamic calendars across multiple executives, ensuring alignment of priorities, proactive conflict resolution, and strategic scheduling.
  • Coordinate executive travel, including domestic/international flights, accommodations, itineraries, and contingency planning.
  • Support all Board of Directors–related logistics, including calendar management, preparation of pre‑reads and materials, coordination with Board liaisons, and meeting execution.
  • Plan, prepare, and support Executive Team meetings—owning agendas, capturing minutes, and tracking action items to completion.
  • Serve as a key point of contact internally and externally, ensuring professional and timely communication on behalf of executive leaders.
  • Partner closely with functional leaders to ensure alignment on company‑wide objectives and cross‑functional initiatives.
  • Support preparation of presentations, communications, and documents for internal and external audiences.
  • Maintain confidentiality and handle sensitive information with complete discretion.
  • Manage expense reporting, budget tracking, and vendor interactions.
  • Contribute to continuous improvement of administrative processes, systems, and tools that support executive effectiveness.

The Ideal Transcript

Qualifications

  • 10+ years of administrative or executive support experience, with at least 3 years in the biotechnology or pharmaceutical industry.
  • Demonstrated experience supporting multiple executives in a dynamic, high‑growth environment.
  • Proven experience coordinating Board of Directors meetings, preparing board materials, and supporting governance‑related workflows.
  • Strong mastery of complex calendar management, prioritization, and schedule optimization.
  • Experience planning and managing multifaceted domestic and international travel.
  • Outstanding verbal and written communication skills, with the ability to communicate confidently across all levels of an organization.
  • Exceptional attention to detail, organization, and follow‑through.
  • High level of discretion and experience handling sensitive and confidential information.

Fundamentals That Set You Apart

  • Prior experience in early‑stage biotech, including comfort navigating ambiguity and rapid change.
  • Strong proficiency with Microsoft 365, and experience developing presentations for executive audiences.
  • Demonstrated ability to build trusted relationships and serve as a thought partner to senior leaders.
  • A proactive, anticipatory working style—able to see around corners, solve problems before they arise, and take initiative without direction.
  • Ability to work in a fast-paced environment while maintaining composure and a positive, professional demeanor.

Salary Range:

$105,000 - $125,000

The final salary offer will be determined based on a comprehensive assessment of the candidate's qualifications, including education, training, and relevant experience. Additional factors such as external market conditions, the role's criticality, and internal equity will also be considered.
