Position Overview

We seek a highly skilled and proactive Executive Administrative Assistant to support our CEO and other executive team members in a dynamic and fast-paced environment. This role is critical to ensuring the seamless execution of executive operations, including heavy calendaring, travel coordination, expense reporting, and high-profile event management.

The ideal candidate is a self-starter with exceptional organizational skills, impeccable professionalism, and the ability to maintain strict confidentiality. They will thrive in a collaborative, fast-growing environment and bring a proactive approach to problem-solving with minimal guidance.

Key Responsibilities:

Executive Support

  • Provide comprehensive administrative support to the CEO, including heavy calendaring, travel planning, and expense management
  • Offer lighter support for the Executive Vice President of People and the CFO, including calendaring and travel coordination, and expense reporting

Board and Meeting Coordination

  • Create and refine slide decks for board presentations and Quarterly Business Review meetings
  • Schedule, coordinate, and manage all logistics for board meetings, including travel arrangements, venue preparation, catering, and other dining reservations
  • Organize and manage scheduling and arrangements for Quarterly Business Reviews (QBRs)

Event Planning and Coordination

  • Plan and coordinate logistics for all-company meetings and other company-wide events

Administrative Excellence

  • Maintain confidentiality and professionalism in handling sensitive information
  • Manage multiple priorities and execute with efficiency and accuracy
  • Work independently to anticipate needs, resolve challenges, and drive initiatives forward

Qualifications

  • Proven experience as an Executive Assistant supporting senior-level executives
  • Exceptional organizational and time-management skills, with the ability to prioritize and adapt in a fast-paced environment
  • Strong proficiency in Microsoft Office Suite, including PowerPoint for presentation creation
  • Demonstrated ability to handle confidential information with integrity and discretion
  • Excellent written and verbal communication skills
  • A self-starter mindset with a proactive approach to problem-solving and a track record of working independently with minimal supervision
  • Experience coordinating events or managing logistics for meetings is a plus
