What You'll Do

The Administrative Assistant for our Pune office will provide essential support to ensure smooth execution of executive visits, leadership meetings, and company events. You will also serve as an extension of U.S.-based executive assistants, delivering a seamless, high-level experience visiting leaders. This role is important for promoting a culture of collaboration, inclusivity, and hospitality. As an extension of our U.S.-based executive assistants, the Administrative Assistant will help deliver a seamless, high-quality experience for leaders and teams visiting Avalara offices in India. The ideal candidate will be dynamic and with a passion for supporting people and contributing to Avalara's vibrant workplace culture. You will report to the Manager, Executive Assistants


What Your Responsibilities Will Be

  • Be primary contact for executives visiting India offices.
  • Coordinate company-wide events and meetings (e.g., Grace Hopper Conference, 20th Anniversary Celebration, GTM Summit, Company Meeting, India Leadership Meeting).
  • Be main contact for the Avalara CLUB incentive program, with a focus on supporting India winners.
  • Partner with the immigration team to assist with visa-related processes.
  • Support scheduling and coordination of meetings, including booking conference rooms and arranging equipment.
  • Manage travel and logistics for visiting executives and teams.
  • Collaborate with U.S. executive assistants to provide a "white glove" experience for executives in India.
  • Provide administrative support for ad-hoc and projects.
  • Be backup for the receptionist, ensuring front desk operations continue smoothly during absences of the Workplace Specialist

What You'll Need to be Successful

  • 2+ years of experience in an administrative or office support role.
  • Strong organizational skills with the ability to manage multiple priorities
  • Proficiency in Microsoft Office Suite and other office management tools.
  • Comfortable working with all levels of management.
  • Experience working in a corporate environment.
  • Familiarity with office management systems.
  • This is an in-office role based in India, requiring presence during standard business hours.
  • Flexibility in working hours required to support executive visits or special events
